The Administrative Support Associate’s role is integral to the smooth and efficient operation of the Radiology Department. Position applies specialized knowledge to administrative support to department for effective operation and administration of office functions.
Administrative Support Associates are responsible for functions including managing the reception desks, performing data entry functions in APM (Allscripts Patient Management) while properly identifying patients and updating electronic data of patient exams, providing quality customer service, performing clerical duties and assisting with coordination of communication in patient care areas.
Essential Duties and Responsibilities – include but not limited to the following:
• Answers calls in the queue call center.
• Schedules patient exams in APM following procedural guidelines and ensures insurance requirements are met.
• Reviews data for accuracy and follows up on discrepancies as in review of ICD-10 and CPT-4 codes.
• Coordinates department communications.
• Able to operate basic office equipment (fax, photocopier, calculator) and demonstrate proficient computer skills in the following systems.
o APM
o HDX
o Isite
o Sorian Financials (Medical Necessity)
o Syngo
o Touch Works
o Touch point
o CCC
• Locates key unit personnel
• Assembles/maintains department records/schedules.
• Organizes and files departmental data
• When scheduling a net new patient in APM, the scheduler must do a pre-registration. Obtain patient’s name, dob, address, contact info, insurance info, race, language and ethnicity before scheduling.
• Sorts through Incoming Faxes and File appropriately.
• Communicates effectively with different modality technicians (MRI, CT, U/S etc.) regarding exam changes or add-ons.
• Follows Safety Scheduling measures to ensure a safe experience for patients appointments.
Education:
• High school diploma or equivalent with a minimum of one year of previous related leadership experience.
