About Performing Arts Workshop

Performing Arts Workshop is a nonprofit organization established in 1965 with a mission to help young people develop critical thinking, creative expression, and essential learning skills through the arts. The Workshop brings arts instruction to more than 3,000 students ages 3-18 each year

through residencies in dance, music, spoken word, poetry, theater arts, visual arts, and media arts.

We believe that access to sustained, sequential instruction in an art form should be part of every young person’s education and development. Because of ongoing disparities in such access, we advance equity by prioritizing partnerships which allow us to work with historically ignored groups including Black and Latine communities, low-income communities, immigrant communities, indigenous communities, LGBTQIA+.

This requires sustained focus on equity in all our efforts to recruit, hire, promote, and retain an exceptionally well-qualified staff.

Position Description:

The Finance Manager is responsible for the day-to-day accounting procedures for Performing Arts Workshop, a growing organization with a current budget size of $1.7m. The finance manager reports directly to the Executive Co-Directors. This is a full time hybrid position with limited in person requirements.

Financial Management

● Oversee day-to-day financial operations, including the general ledger, accounts receivable, accounts payable, monthly close of financial books, shared expense allocations, deposits, credit card reconciliations, and bank reconciliations

● Support staff leadership in financial decision-making

● Manage cash flow

● Collaborate with the Executive Co-Directors during the annual budgeting and planning process

● Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial results to the Finance Committee of the Board of Directors and staff leadership

● Manage the Finance Committee of the Board

● Coordinate the annual audit and Form 990 process, liaise with external auditors and the Finance Committee; work with the Executive Co-Directors to assess any changes necessary

● Manage the Workshop’s investment activity, including CD and money market accounts ● Oversee inventory and depreciation schedules for fixed assets, leasehold improvements as well as furniture and equipment

● Adhere to organizational schedule for invoicing clients, paying bills, and tracking grant expenditures

● Support the Executive Co-Directors with federal, state, and local government compliance reporting and federal cost rate negotiations

● Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual; and implement internal controls

Grants Management

● In partnership with an Executive Co-Director and Senior, Grants Manager develop grant budgets

● Prepare regular internal and external financial reports for grants

● Support staff leadership in monitoring spending against restricted grants and contracts to maximize revenue sources

● Create and submit monthly invoices to funders

Payroll, Benefits & Insurance Coordination

● Work with an outside payroll provider, ADP, and Workshop program staff to oversee and manage payroll for salaried and hourly staff

● Work closely and transparently with all external partners including third-party vendors and consultants

● Mange Liability, Directors and Officers, Worker’s Compensation, Unemployment and Health insurance applications, enrollment, payments, and requests for certificates from site partners

● Work with Executive Co-Directors to manage any necessary benefits changes, wage garnishment, worker’s compensation or unemployment claims

Staff Management

● Support with management of the Operations and Events Associate Manager in their day-to-day finance duties, including accounts receivable and accounts payable

Required Qualifications:

● 5 years of professional experience in the field of nonprofit financial accounting

Strong working knowledge of QuickBooks accounting and reporting software, Microsoft Excel and Outlook

● Experience or strong interest in anti-racist practices

● Excellent attention to detail and ability to manage multiple ongoing tasks;

Very strong initiative and ability to learn, contribute, and be self-motivated;

Strong organizational skills

Excellent communication skills

Ability to translate financial concepts to – and to effectively collaborate with – programmatic and fundraising colleagues who do not necessarily have finance backgrounds

Successful track record in financial grant reporting, particularly tracking restricted grant funds from government and foundations

● Personal qualities of integrity, credibility, and dedication to the mission of Performing Arts Workshop

● Ability to produce timely and accurate reports on a regular schedule and as needed ● Excellent written and verbal communication skills

Exceptional Qualifications:

At least 1 year of professional experience in nonprofit finance

● Interest in or currently pursuing MBA/CPA or related degree

● Willingness to and interest in learning

● Interest in arts education

● Ability to adapt to new technology; willingness to use technology to find efficiencies in accounting processes
