Position Summary

The Executive Director manages the programming of Children’s House Montessori School inCamden, Maine, to provide a Montessori-based education to our community of toddler through lower elementary students. Overseeing a staff of fourteen teachers and administrators, the Executive Director engages with families and the community at large to grow enrollment and build support for the school. This is a full-time, salaried position.

Supervision

The Board of Directors supervises the Executive Director in accordance with this job description and based on its annual evaluation of the Executive Director’s job performance.

Responsibilities

1. Maintaining and Growing Enrollment

The Executive Director oversees all aspects of the enrollment and admissions process, including the creation and distribution of admissions materials, corresponding with prospective families, leading parent tours, and organizing open house events. As part of the enrollment process, the Executive Director is responsible for budgeting and distributing tuition assistance funds.

2. Development

The Executive Director and Board collaborate to establish goals for raising the funds necessary for annual operations and capital campaigns. The Executive Director participates with Board members and fundraising volunteers to research grants, create fundraising events, and develop capital campaign goals.

3. Marketing

The Executive Director oversees development and execution of a marketing plan designed to enhance enrollment and community awareness. The Executive Director works with the Marketing Committee to maintain the school website, have an effective social media presence, write press releases, advertise in local media, and post effective signage.

4. Communication with Parents

The Executive Director communicates regularly with parents, including a weekly newsletter.

5. Board Communication

The Executive Director meets monthly with the Board of Directors with prepared agendas and financial reports. The Executive Director ensures that the Board is aware of issues pertaining to school policy or financial matters.

6. Financial Management

The Executive Director manages the business and financial matters of the school, subject to direction by the Board and Treasurer. The Executive Director oversees the work of a contract bookkeeper; manages tuition through a third-party system [FACTS], prepares statements for the Board, and prepares financial information for annual audits. The Executive Director and Treasurer prepare the draft operating budget for approval by the Board of Directors.

7. Personnel Management

The Executive Director oversees the hiring, training, and evaluation of all staff. The Executive Director meets with the staff weekly as a group and individually as needed. The Executive Director performs or coordinates classroom observations, and performs annual reviews of each staff member. The Executive Director leads communication among teachers, with parents, and between staff and the Board of Directors. The Executive Director communicates with the teachers about classroom activities or concerns and provides teacher support, including assistance with individual student observations and accommodation plans. The Executive Director also coordinates and manages Montessori training and professional development opportunities for all staff.

8. Building and Grounds Maintenance

The Executive Director oversees the maintenance of the school building and grounds, including the building, playground, and parking lot. As needed, the Executive Director engages contractors, oversees maintenance work, and administers contract payments. The Executive Director maintains building security, and develops and practices emergency plans, including fire drills.

9. General Administration

The Executive Director manages all administrative aspects of the school directly and through assignment of tasks to staff, including management of the school office and reception, procuring classroom materials, office supplies needs, and technology upkeep. The Executive Director ensures compliance with all applicable federal, state and local laws. This includes but is not limited to state licensing requirements (DHHS), building codes, and health and welfare (CDC) requirements.

• effective written and verbal communication skills, including conflict resolution

Compensation

Children’s House Montessori School will provide competitive compensation to the successful Executive Director candidate based on demonstrated performance and qualifications.
