The Peabody Essex Museum, one of the most dynamic art and culture museums in the country, is seeking a full-time Rights and Reproductions Coordinator (RRC). Reporting to the Head Registrar the RRC is responsible for coordinating and securing images and reproduction rights and permissions for images and other digital content for use in the museum’s exhibitions, public programs, publications, advertising and promotions. The RRC works closely with curatorial, marketing, communications, development, education, retail and exhibitions staff to identify the images and permissions needed for relevant materials. The position is responsible for creating and enforcing naming taxonomies and metadata scheme, tagging files with relevant and accurate metadata, enforcing asset file standards, and ensuring application documentation is up-to-date; assists in bringing existing assets up to appropriate standards, including reorganization of file directories and metadata cleanup projects.

In conjunction with Collection Systems Administrator, the RRC oversees asset delivery to internal/external requesters using PEM’s digital asset management system (Piction) and M+, and participates in ongoing configuration and customization of these systems and associated workflows. Additionally, the RRC develops and documents best practices to protect the museum from liability related to copyright and intellectual property and researches, proposes and develops strategies for increasing PEM’s digital presence, in accordance with the institutional strategic plan.

Bachelor’s degree in art history, museum studies or related field, as well as three to five years of experience in intellectual property management, preferably within an art museum or image archive or any equivalent combination of education, training and experience that provides the requisite knowledge, skills, and abilities for the job requirements. A thorough understanding of intellectual property law, including “fair use” and similar copyright issues; knowledge of collection documentation, image reproduction, loan and rights negotiation, license agreements or copyright law; knowledge of database systems, imaging software and database reporting mechanisms; basic understanding of digital imaging standards and formats; experience with an automated collections management system and digital asset management systems; a demonstrated ability to manage complex projects and coordinate multiple projects simultaneously; strong prioritization, organizational and communication skills are required. Competent editorial and proofing skills and proficiency in MS Office, Google Workspace; and the ability to work collaboratively with others as part of a team as well as independently; proven administrative and interpersonal skills and the ability to meet deadlines as well as work with confidential information are necessary.
