SUMMARY OF THE JOB
Responsible for coordination and management of the Client Services staff. Coordinates specimen collections at patient service centers, nursing homes and other healthcare facilities, and lab courier functions. Actively participates in patient satisfaction initiatives. Assures customer service standards are maintained. Responsible for the maintenance growth of client relationships. Coordinates with Business Manager to ensure client contracts are maintained.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (50%)
Coordinates with Outreach team leads to manages section personnel. This task involves the management and coordination of the Outreach Services at all locations. Included in this task is the management of work schedules and assignments, interviews, and selecting individuals who best meet the needs of the section, assures the timely, complete and periodic training of employees, conducts employee performance appraisals of leads, makes recommendations to the Laboratory Service Line Manager involving disciplinary and wage matters, maintains attendance, and completes payroll functions.
Maintains and grows client relationships. This involves collaboration with Business Development staff and Business Manager to maintain client contracts and pricing. Rounds with current clients to ensure lab services are meeting their needs. Actively pursues new clients.
Coordinates section functions. This task involves the management of collection functions at the service centers and physician offices, and the proper transport of these samples via a courier system. This task involves monitoring the timeliness, validity and accuracy, and productivity of collections, the coordination of uncollected and recollected samples, and the transport of samples from physician offices and service centers to the testing facility for analysis.
Prepares and monitors section expenses. This task involves the generation of those portions of the department budget that are impacted by Specimen Collection and Client Services operations. These include such items as payroll and non-payroll expenses. This task also includes budget control in order to assure cost effective operations and preparation of cost analysis reports. Responsible for annual Outreach Services budget.
Maintains section policy and procedures. This task includes the development and periodic review of policies and procedures in order to improve and expedite services and to comply with regulatory agencies and the use of MediaLab or other electronic systems for management of these policy and procedures. This task also assures that section employees are informed of and comply with these policies and procedures.
Serves on department and hospital committees.
Participates in Performance Improvement and utilization activities.
Coordinates section inventory.
Communicates with pathologists and physicians.
Coordinates section education program.
Collaborates with other lab managers as well as other departments.
Complies with Safety Policies, Standards of Employee Conduct, and Laboratory General, Computer, and Compliance Policies and Procedures.
Directly manages Leads and staff employees in the Outreach Services section of the Laboratory. Carries out management responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

- Assists as Service Line Manager’s designee when the managers or directors are unavailable.
- Coordinates staffing and delegates work assignments appropriately.

JOB Requirements & QUALIFICATIONS

Two or more years experience in healthcare. Previous management or supervisory experience required. May learn complete scope of duties in one (1) to two (2) years. Must possess effective management and good communication skills. Must be familiar with all department methods and collection techniques. Considerable initiative and judgment involved in managing personnel and overall workflow. Must be able to work independently and make decisions under pressure while following professional standards and hospital policies.
Education and Experience
Education: Graduate with a business or health related four year degree or will attain the degree in an agreed upon time frame with Director.
Proof of education will be required. This proof will be in the form of an authenticated copy of an original diploma or transcripts. Transcripts may be required if further definition of a degree is needed.
